This Privacy Policy explains how Festival Slate collects, uses, shares, and protects information when you use festivalslate.com and the Festival Slate services.

The short version.

We use information to operate film-festival submissions, judging, accounts, communications, security, payments when enabled, and the features you request. We do not sell personal information. We do not share mobile information with third parties or affiliates for their own marketing or promotional purposes.

01 · Who we are

Festival Slate by Beeldra.

Festival Slate is a United States service operated by Beeldra. Our mailing address is P.O. Box 17, Sparks, NV 89432, United States. This policy applies to Festival Slate accounts, festival workspaces, film submissions, judging tools, audience-choice features, and related communications.

Festival Slate is currently offered in the United States, beginning in Nevada. We may expand to other U.S. states, including California, and will update this policy when our services or legal obligations change.

02 · Information we collect

The details needed to run the slate.

Account holders and judges

We collect email addresses, legal names, account credentials, verification information, session information, and role or festival membership details. Judges may also be associated with assigned categories, scorecards, written feedback, and judging activity.

Festival organizers

Organizers may provide legal names of key staff, contact information, an EIN, tax information, and bank or payment information needed to organize a festival, receive or send funds, complete tax or compliance requirements, or process transfers.

Filmmakers and submissions

Filmmakers may provide names, email addresses, film files, posters, stills, trailers, titles, synopses, loglines, director and cast-and-crew details, production information, runtime, country, language, subtitles, premiere information, and other information included in a submission.

Phone numbers and SMS

We collect phone numbers when they are required for account two-factor authentication, audience-choice voting, fraud prevention, or another phone-enabled feature. We also record the consent and preference information needed to administer text messaging responsibly, including how and when a person enrolled or opted out. For Audience Choice voting, the phone number or email address used to verify a ballot is stored encrypted with that current ballot and may be displayed only to the authorized festival organizer in the organizer-only ballot-detail view; public rankings and CSV/PDF exports exclude voter contact information.

Payments

Payment processing features are planned. When enabled, we may collect transaction, billing, tax, payout, and payment-status information. Full card or bank credentials may be handled by a third-party payment provider rather than stored directly by Festival Slate. We will identify the applicable provider and update this policy before those features are launched.

Technical and usage information

We may receive IP address, browser and device information, authentication events, security logs, pages or features used, timestamps, and error information necessary to secure and operate the service. Festival Slate uses essential session and security cookies. We do not currently use advertising cookies or third-party behavioral advertising on the service.

03 · How we use information

To make the work move.

  • Provide, maintain, and improve Festival Slate and its festival, submission, judging, voting, and organizer features.
  • Create and secure accounts, verify email addresses and phone numbers, provide two-factor authentication, prevent fraud, and protect users and festivals.
  • Route submissions to the relevant festival organizers and judges, calculate scores, generate results, and deliver filmmaker feedback.
  • Process payments, transfers, taxes, payouts, refunds, and accounting when payment features are enabled.
  • Send transactional email and text messages, including verification codes, security alerts, account messages, voting messages, and service notifications.
  • Send newsletters, festival announcements, promotional communications, and other marketing messages when permitted by law and your preferences.
  • Use submitted posters, stills, film metadata, and submission information in Festival Slate marketing that identifies a film as submitted through Festival Slate, as described below.
  • Comply with legal obligations, respond to lawful requests, enforce our terms, resolve disputes, and maintain business records.

04 · How we share information

With the people and providers who need it.

We do not sell personal information. We may share information in these limited circumstances:

  • Festival organizers and authorized staff: submission information and filmmaker contact details may be available to the festival receiving a submission.
  • Judges: judges may see assigned films, film information, and filmmaker names so they can evaluate submissions. They do not receive access to unrelated festivals or accounts.
  • Service providers: hosting and storage providers, NGINX infrastructure, Nixihost email, CloudTalk or Twilio messaging, payment providers when enabled, backup providers if adopted, and professional advisors may process information to provide services to Festival Slate.
  • Legal and safety purposes: we may disclose information to comply with law, enforce agreements, protect rights and safety, investigate fraud, or respond to legal process.
  • Business changes: information may be transferred as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law.

Service providers may use information only to provide contracted services, follow our instructions, or meet their legal obligations. Mobile information will not be shared, sold, or transferred to third parties or affiliates for their own marketing or promotional purposes.

05 · Film content and marketing

Your work stays yours.

Festival Slate does not acquire ownership of submitted films. To operate a festival, you grant Festival Slate and the relevant festival a limited, non-exclusive license to host, process, review, display, transmit, and make the submission available to authorized organizers, reviewers, judges, and other workflow participants.

Festival Slate may use posters, stills, film titles, filmmaker names, festival names, and related submission information in marketing materials to identify that a film was submitted through Festival Slate. Festival Slate will not exhibit or publicly distribute whole films as marketing. Trailers may be made available only when the filmmaker has given the applicable consent.

Do not submit content you do not have the right to provide. Submission visibility may also be governed by the festival’s own rules and terms.

06 · Text messaging

Useful messages, with a clear exit.

Festival Slate uses CloudTalk or Twilio for text messaging when SMS features are enabled. Messages may support account two-factor authentication, identity or phone verification, Audience Choice voting verification, fraud prevention, security, and other Festival Slate service notifications. Message frequency varies based on the features and actions you use.

A phone number is required only when a user chooses or uses an SMS-dependent feature. Festival Slate presents a separate, initially unchecked SMS consent box beside the complete disclosure before requesting a verification message. Festival Slate does not use that consent to enroll users in promotional marketing text messages.

An event QR code may contain an ordinary HTTPS URL to a Festival Slate Audience Choice voting webpage. Scanning the QR code only opens that webpage and does not constitute SMS consent. Consent occurs on the webpage only after the user sees the disclosure, affirmatively checks the box, supplies a mobile number, and requests verification.

Message and data rates may apply. Reply STOP to opt out of text messages and HELP for help. Opting out may prevent you from using SMS-dependent security or voting features until another supported verification method is available. Mobile information will not be sold or shared with third parties or affiliates for their marketing or promotional purposes.

07 · Retention and deletion

Kept for a reason, then removed.

Unless a longer period is required or permitted by law, Festival Slate generally retains account and service information for 365 calendar days after inactivity. Activity on the service generally starts a new 365-day period. You may request deletion before that period ends.

Financial transaction, tax, accounting, fraud-prevention, security, dispute, and legal records may be retained indefinitely or for the period required by applicable law. Information may also remain in secure backups or records needed to establish, exercise, or defend legal claims. When information is no longer needed, we delete it, anonymize it, or securely isolate it.

08 · Security

Designed for careful handoffs.

We use administrative, technical, and organizational safeguards appropriate to the information we handle, including encrypted connections, password hashing, session controls, role-based access, verification challenges, protected media routes, and audit records. No internet service or storage system is completely secure, so we cannot promise absolute security.

09 · Your choices and rights

You can ask what we hold.

Depending on where you live and applicable law, you may request access to, correction of, deletion of, or a copy of personal information, or ask us to limit or stop certain communications. You may also withdraw optional marketing consent. We may need to verify your identity before completing a request and may retain information where required for legal, financial, security, or dispute purposes.

California residents may have additional rights under applicable California privacy laws, including rights to know, delete, correct, and opt out of the sale or sharing of personal information. Festival Slate does not sell personal information or share mobile information for marketing. We do not discriminate against people for exercising applicable privacy rights.

10 · Children

Built for adult account holders.

Festival Slate is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and delete it when appropriate.

11 · Changes

When the service changes, this page changes too.

We may update this policy as Festival Slate adds features, providers, states, or legal requirements. We will post the updated policy at festivalslate.com/privacy and revise the effective date. Material changes may also be communicated through the service or by email when appropriate.
