These Terms & Conditions govern access to Festival Slate, including festival workspaces, film submissions, judging, voting, communications, and related services.

The short version.

Use Festival Slate lawfully, provide information and content you have the right to provide, respect the confidentiality of festival and judging work, and keep your account secure. Festival Slate provides the platform; festivals remain responsible for their own programming decisions, rules, deadlines, and payments.

01 · Agreement

Welcome to Festival Slate.

These Terms & Conditions are an agreement between you and Festival Slate by Beeldra, P.O. Box 17, Sparks, NV 89432, United States. By creating an account, submitting a film, joining a festival, judging, voting, or otherwise using Festival Slate, you agree to these terms and our Privacy Policy.

If you do not agree, do not use the service. Festival-specific rules, entry requirements, fee schedules, and other published terms may also apply to a particular festival.

02 · Accounts

Keep your account accurate.

You must provide accurate, current information and keep your login credentials secure. You are responsible for activity under your account and must promptly notify us of suspected unauthorized access. We may require email or phone verification, two-factor authentication, or other security checks.

You may not impersonate another person, create an account for someone without authorization, evade a suspension, or use another person’s credentials. We may suspend or terminate access when needed to protect users, festivals, the service, or legal compliance.

03 · What Festival Slate provides

The platform is the stage, not the programmer.

Festival Slate provides tools for festival discovery, organizer administration, submissions, review, judging, audience-choice voting, communications, payments when enabled, and related workflow. Festival organizers control their festival’s categories, deadlines, rules, selection decisions, judges, and program. Festival Slate does not guarantee that a film will be selected, exhibited, scored, funded, or paid.

Features may change, be paused, or be discontinued. We may apply reasonable limits to storage, file size, messaging, voting, or other service use to protect reliability and security.

04 · Submissions and filmmaker rights

Submit only what you can stand behind.

You represent that you own or control the rights needed to submit each film, poster, still, trailer, photograph, music track, name, likeness, and other material you provide, or that you have permission from the rights holder. Your submission must not violate law, another person’s privacy or publicity rights, or the rules of the festival receiving it.

You retain ownership of your submitted content. You grant Festival Slate and the applicable festival a non-exclusive, worldwide, royalty-free license to host, copy, process, transmit, review, display, and make the content available to authorized organizers, reviewers, judges, and workflow participants for festival administration and service operation.

Festival Slate may use posters, stills, film titles, filmmaker names, festival names, and related submission information in marketing materials to identify that a film was submitted through Festival Slate. Festival Slate will not exhibit or publicly distribute whole films as marketing. Trailers may be made available only when you give the applicable consent.

05 · Organizers and judges

Each role carries a responsibility.

Organizers are responsible for their festival rules, lawful collection and use of submitter information, selection and judging processes, communications, payments, taxes, refunds, and any promises made to filmmakers. Organizers must use Festival Slate data only for legitimate festival purposes and protect confidential information.

Judges must review only assigned materials, keep submissions and scorecards confidential, avoid conflicts of interest, and not copy, publish, or use film materials outside the authorized judging process. Judge feedback may be delivered to filmmakers in anonymized documents labeled by judge number.

06 · Fees and payments

Payment details will be stated at the point of use.

Festival entry fees, organizer fees, payouts, bank transfers, refunds, taxes, and payment deadlines may be set by Festival Slate or the applicable festival and will be shown when relevant. Payment processing features are planned and may be handled by third-party payment providers. Those providers may impose their own terms and privacy practices.

You authorize the applicable payment provider and Festival Slate to process transactions you initiate. You are responsible for accurate billing, tax, and payout information. Financial transaction records may be retained indefinitely or as required for accounting, fraud prevention, tax, legal, and dispute purposes.

07 · SMS and phone features

Text messages have a clear purpose.

When enabled, Festival Slate uses CloudTalk or Twilio to send SMS messages for account two-factor authentication, identity or phone verification, Audience Choice voting verification, fraud prevention, security, and other Festival Slate service notifications. A phone number is required only when a user chooses or uses an SMS-dependent feature. Message frequency varies based on the features and actions the user takes.

Festival Slate displays a separate, initially unchecked SMS consent box and the complete disclosure before requesting a verification message. This consent does not enroll users in promotional marketing text messages. Message and data rates may apply. Reply STOP to opt out and HELP for help. Opting out may disable SMS-dependent features. Mobile information will not be sold, shared, or transferred to third parties or affiliates for their marketing or promotional purposes.

An event QR code may contain an ordinary HTTPS URL to the Festival Slate Audience Choice webpage. The QR code performs navigation only: scanning it is not SMS consent. Consent occurs on the webpage only when the user affirmatively checks the consent box and requests verification.

08 · Acceptable use

Keep the slate safe.

You may not use Festival Slate to break the law, infringe rights, distribute malware, harass or defraud people, manipulate voting or judging, upload content you do not have rights to use, probe or disrupt the service, bypass security, scrape private materials, send unauthorized messages, or interfere with another user’s access.

We may remove content or restrict access when we reasonably believe it violates these terms, a festival’s rules, applicable law, or the safety and integrity of the service.

09 · Intellectual property

Festival Slate remains Festival Slate.

Festival Slate, Beeldra, the Festival Slate name, logo, interface, software, and service content are owned by or licensed to Festival Slate and protected by applicable law. These terms give you a limited, revocable, non-transferable right to use the service; they do not transfer ownership or grant a license to copy, modify, resell, reverse engineer, or create derivative works from the service.

10 · Privacy

Read how information moves.

Our Privacy Policy explains what we collect, why we use it, how we share it, how long we keep it, and how to make a privacy request. Festival-specific rules or agreements may contain additional information-handling terms.

11 · Disclaimers and limits

The service is provided as available.

To the maximum extent permitted by law, Festival Slate provides the service “as is” and “as available,” without warranties that it will be uninterrupted, error-free, secure, or suitable for every purpose. We are not responsible for a festival’s decisions, content, deadlines, fees, payments, judging, exhibition, communications, or conduct.

To the maximum extent permitted by law, Festival Slate and Beeldra will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, data, goodwill, or opportunities arising from use of the service. Our total liability for claims arising from the service will not exceed the greater of the amount you paid to Festival Slate for the service during the twelve months before the event giving rise to the claim or one hundred U.S. dollars.

Some jurisdictions do not allow every limitation above, so some provisions may not apply to you.

12 · Indemnity

Stand behind what you submit.

To the extent permitted by law, you agree to defend, indemnify, and hold harmless Festival Slate, Beeldra, and their personnel from claims, losses, liabilities, damages, costs, and expenses arising from your content, your breach of these terms, your violation of law or third-party rights, or your use of the service.

13 · Changes and governing law

The current terms live here.

We may update these terms as the service, features, or law changes. We will post updates at festivalslate.com/tandc and revise the effective date. Continued use after an update means you accept the revised terms, except where applicable law requires another form of notice or consent.

Nevada law governs these terms, without regard to conflict-of-law rules. Subject to any mandatory legal forum, disputes will be brought in the state or federal courts located in Washoe County, Nevada. If a provision is unenforceable, the remaining provisions remain in effect. These terms, together with the Privacy Policy and applicable festival rules, are the agreement between you and Festival Slate for the service.
